Add Provider Detail

  1. From the Detail Service Approval window, select Create Provider Detail from the Actions drop down menu
  2. Select the Arrow icon to designate the provider. A pop-up window will appear and ask if the Service Approval Owner and the provider are the same. A ‘yes’ answer will populate the name in both the Owner and Provider fields. You can then proceed to Step 3. If the answer is ‘no’ the next pop-up window appears that asks if provider and payee the same. If that is also “no” then the Search Organization window opens where you can search for (or add) the provider. After selecting the provider, use the Return Arrow to return to this window.
  3. Enter the begin date that this provider was approved to provide this particular type of service. The date cannot be prior to the begin date of the Service Approval.
  4. Use the Arrow icon in the service type group box to search for the Service type for a new provider approval. The Search Service Type window appears. The best way to search is by Program, which will return a complete list of all services available for that Program. When the List Service Type or Detail Service Type (if only one match is found) window opens, highlight the appropriate Program Service and use the return arrow to bring the information back to the Detail Provider window. If the Arrow icon is not enabled, you are in the Update Mode and are not able to change the Service Type.
  5. Select the pre-print box if you want the preprint to be sent to the provider. If this check box is selected, you must select a Preprint Frequency using the drop down list. If the provider approval involves a Program that does not allow preprints, this field will be disabled. An example of a Program that allows Preprints is Child Care.
  6. Select the Hold Authorizations check box to indicate to staff responsible for Service Authorizations that they should discuss the provider’s status with Resource Development staff prior to using this provider. For example, this check box would be selected if the provider was under investigation for fraud.
  7. Select the Automatic Claims check box if you want the system to automatically pay the provider. If the approval is for a Program that does not allow automatic payment, this field will be disabled. An example of a Program that allows automatic payment is CFS for some services.
  8. Select the Save or Save/Close icon.

Note: Child care licensing information is maintained in the Licensing Information System (LIS). Licensing staff do not enter a "facility type" for child care organizations. Since this is required on a monthly federal report, this data is required for N-FOCUS.  Enter the Child Care licensing number in the field on the Home Details window.

Whenever a new Provider Detail is created for a Child Care service (as part of documenting a provider payment contract on N-FOCUS), the system will check for the existence of a Child Care Facility Type.

If the providing organization has no Child Care Facility Types, the system will bring up a dialog window displaying five possibilities. (They are Approved Family Child Care Home, Child Care Center, Family Child Care Home I, Family Child Care Home II or <None>.) The user will be required to select the appropriate type and the system will create the Facility Type behind the scenes. If the providing organization has one or more Child Care Facility Types, the dialog window will not come up.
