Change Program Case Name or Payee (Mainframe)
Key Points
Payee:
- The system does not set a role of ‘payee’ for
MED Only program cases.
- Program Case Payee can only
be changed on the mainframe for the following programs: CC, SA, SG, SA/MED,
SG/MED and IL/MED.
- Program Case Payee can only
be changed in the Expert System for the following program: SNAP.
- Program Case Payee can be changed from either
the mainframe or the Expert System for the following programs: AABD/MED,
ADC/MED, FW/MED and IL/MED.
- The system will not create a payee for the following
programs: EA, EF, MED, Retro MED, MED/SG, MED/SA, MED/KC, MED/PE, MED/QWD,
SSAD, SSCF, AD, ADD, CDD, DDCM, KB, EI, APS, CFS and JC
Case Name:
- A system edit exists which prevents you from changing
the Program Case Name in the mainframe for an Expert System case.
- Program Case Name can only
be changed on the mainframe for the following programs: CC, EA, MED/SG,
MED/SA, MED/KC, MED/PE, MED/QWD, SA, SG, SSAD, SSCF, APS, SA/MED, SG/MED,
CFS and JC.
- Program Case Name can only
be changed in the Expert System for the following programs: AABD/MED,
ADC/MED, SNAP, MED, Retro MED, FW/MED and IL/MED.
- FW/MED, IL/MED, SG, SA, SA/MED, SG/MED, TBI, EF,
AD, ADD, CDD, DDCM, KB and EI programs are single person only program
cases and therefore, the Program Case Name cannot be changed in either
the mainframe or the Expert System. The Program Case Name defaults to
the participant’s name.
- There is no functionality to change either the
Case Representative or Emergency Contact role from the Expert System,
therefore, they can only be changed on the mainframe.
- Administrative Roles of Case Representative and/or
Emergency Contact can be set for all programs.
To change an Administrative Role in the Mainframe:
- From the Detail Master Case window, select the Program Case which needs the payee changed
and double click or highlight it and select the icon to go to the Detail Program Case.¨ From the Detail Program Case, select
the Administrative Roles Push Button or select Administrative Roles from
the Detail drop down.
- Highlight the person from the
list of Program Case Persons and select the Select Role Push Button or,
if the person is not listed in the list of Program Case Persons, don’t
highlight anyone and select the Select Role Push Button
- If a person was highlighted,
the person’s name will appear on the Select Role window. Highlight the
appropriate administrative role (Case Name, Payee, etc.) then select the
OK push button. If a person’s name was not selected, use the Select Arrow
under either the person or the organization to locate the person or organization
and bring them back to this window using the blue select arrow. Then highlight
the appropriate administrative role and select the OK push button.
- The previous person will have
an end date in the role and the new person will appear with a begin date.

Closing an Administrative Role
Highlight the row to be closed and select the Close Role push button.
This will place an end date on the role. The only roles that cannot be
closed are Program Case Name and Payee.
