Medicaid Cross Reference Numbers
USING INTERIM NUMBERS INSTEAD OF SSN
When a person is added to N-FOCUS, a nightly batch process checks to
see if this person already has a Medicaid Cross Reference Number. If they
do, the system leaves that number assigned to the person. If they do not, the Medicaid Cross-Reference
Number is determined by the system using the following steps:
- Determine that the person is in a medical program
case.
- Determine in which Master Case the person is participating.
- Determine who is the Master Case Name for that
Master Case.
- Find the Person Number for
the person who is being added to the case.
- Determine the next available 2-digit suffix number
for that Person Number.
Example
MC # 12345 includes
a Mom [SSN = 505-55-5555] and a Child. They receive ADC/MED and were at
the time of the conversion from the old Legacy System to N-FOCUS. When
possible the system retained the old Medicaid ID’s converted over from
the old system and this was the case in this Mom’s case situation.
So Mom’s Medicaid Cross-Reference Number = 505555555-02 (02 represented
a female head of household in the old system).
Child #1’s Medicaid Cross-Reference Number = 505555555-21 (children
were represented by a number in the ’20’ series in the old system).
Child # 2 came to live with Mom and sibling. Child # 2 had never been
on Medicaid in Nebraska before. He was pended into Mom’s ADC/MED case.
The night following the day he was pended into the case the system assigned
him a Medicaid Cross-Reference Number based on the above steps. This process
worked as follows.
- Is Child # 2 in a medical program case? Yes
- In which Master Case is Child # 2 participating? #12345
- The Master Case Name for Master Case #12345 is
Mom
- What is Mom's unique
Person Number? (97003371).
The person
number is a unique eight digit number, so each new Medicaid number based
on the Person Number will have a leading zero, the Person Number of the
individual, and a two digit suffix.
- What is the next available two digit suffix for
this Person Number? 097003371-22
- Update the Known Case table with this new cross-reference
number for Child #2.
The Master Case Name Person must still
have a SSN. If
the Master Case Name person does not have a SSN, you have two options:
- Call
Central Office (402-471-9604) for an Interim Number and enter that number
in the SSN field on the Person Detail window. An
interim number always begins with 3 zeros (000-xx-xxx).
Note: When that person later gets a SSN, update the Person Detail
window with the SSN. If an SSN is changed,
this will not change the Medicaid Number. The Medicaid Number is assigned
only once.
- Select another
person as the Master Case Name.
