Renew License

The system automatically prints a License Renewal Letter 90 days prior to the license expiration date. The letter is sent to Central Office staff who then attach the renewal packet and send it to the provider. The worker(s) assigned to the organization receives an alert regarding the upcoming license expiration 90 days prior to, 45 days prior to, and the day of or just prior to the Effective End Date of the license displayed on the Detail License/Approval window.

Note:  If you are renewing a license and the current license has not yet expired or been closed for some other reason, the system does not allow you to activate another license.  You should navigate to the Detail License/Approval window for the license that should be closed, and from the Action drop-down list box, choose Actions - Update License/Approval Status.  Select Close and the reason New License to be Issued.  

Note:  If you create a duplicate License and put it in Pending Status, prior to the Effective End Date of the current License, when the End Date occurs, the system will automatically Close the current License and set the Pending License to Active Status. For this process follow these steps.

  1. Create a duplicate License.
  2. On the Detail License/Approval window select Actions - Update License/Approval Status

    Result:  The Update License/Approval Status dialogue box displays.

  3. Select Pending Status from the drop down list.
  4. Enter the Status Effective Date.

    Note:  The date entered here must be current date and it will also automatically become the Effective Begin Date on the License/Approval window

  5. Select the OK push button.

    Result:  The Detail License/Approval window displays.

  6. Enter the appropriate Effective Begin Date.

    Note:  The Effective Begin Date should be one day after the Effective End Date of the current Active License.
