Always Search to see if the Organization is already on the system before adding a new organization!
Searching by the Organization EIN or SSN is the preferred method because it is more likely to be accurate.
Status: The status is included in all searches. The status defaults to Active, but can be changed.
Name Search:
Because the Organization may already exist under a name that is slightly different than the one you plan to add, you need to search using more than one variation of the same name.
Example:
Smith’s Cleaning Service could exist as Smith’s Cleaning; John Smith’s Cleaning; Smith, John, etc. Do not select an organization that is designated as a duplicate organization
When you search by Organization name, the system looks for exactly what you key in, including spaces, periods, and hyphens, etc. Therefore if you key in the first name or initial of the Organization name, you are more likely to find all the Organizations that might match your selection. You also avoid adding duplicate Organizations. For a family-type Organization, use the last name (which is the first part of the Organization name) for searching.
This field may or may not have been entered by the RD worker. When searching by related person, include the city. In other searches, specifying the City can narrow the focus of the search.
When an organization has been added to the system, it is given a system assigned N-FOCUS ID number. Using this number will always find the correct organization record.
