Moving Expenses

The Department has a contract with the U-Haul corporation for their services. If you are not familiar with the reservation procedures used to obtain U-Haul equipment for customers, please consult with your supervisor, Dennis Ellis or Maria Diaz at the Central Office. Desk aides and guidelines are available upon request. Just a couple of tips:

U-Haul equipment is more likely to be available during the week; rather than a weekend.

If your client wants or needs to move on a weekend, the sooner the reservation can be made, the better.

Just because the equipment is on the dealers lot, does not mean that it is available; the marketing company may have it reserved and not yet notified the dealer.

If you need a reservation done immediately, ask the marketing company to call/fax the dealer while you wait on the line.

If no U-Haul equipment is available, you can authorize the move using another company, such as Ryder or Penske to provide the service.

  1. The contract provides for the cost of the appropriate sized moving equipment plus fuel to refill a U-Haul truck at the end of the move. Insurance is also included as part of the contract.
  2. Fuel expenses during the move for both the U-Haul and the customers vehicle are allowable.
  3. The following additional equipment can be authorized:
    1. Tow bar;
    2. Auto Transport;
    3. Appliance Cart;
    4. Pads
