Renew Service Authorization
WINDOW OVERVIEW:
The Renew Service Authorization window is used to establish an additional (extended) authorization period with units and rates information for an existing Service Authorization. It will retain history of the dates and data for the prior authorization period.
The Service Authorization ID number , the person receiving the service, and the provider will remain constant.
- The Renew action will put the Service Authorization in Renewal mode.
- Renewal is allowed for a Service Authorization to a provider or an DHHS Staff person; it is not allowed for an Authorization to a Case Person.
- The user must enter new "renewed" Service Authorization End Date. The system will set the renewal date to one day later than the original Service Authorization End Date. The system will use the renewal date to retrieve the Provider's rate data.
- The Program Service Type must be active for the entire renewal period.
- The Case Person must be in Active, Transitional, Exempt, or Ineligible status in the Program Case, and must have a role of Participant or CFS Participant. Where there are multiple rows of History, the renewal may cross rows of consecutive allowable statuses/roles. It may not cross into a period of History that has a non-allowed status or role.
- The Provider must have a Provider Detail in Active status for the renewal period. The renewal may cross consecutive rows of active Provider History
- Units and rates must be established for the renewal period. The rules that govern rates for a new Service Authorization will also apply to the renewal. The begin date for each renewed rate frequency will be the same as the Renewal Date, and the end date will be the same as the "new" Authorization end date. Any remaining unit balance(s) from the prior Authorization period will not be carried forward. The Renewal Date will be used to read/retrieve Provider rate data.
- Once a Service Authorization is in Renewal mode, other changes will not be allowed until after the renewal is either saved, or the user exits the Authorization without saving.

Rates established for the Renewal Date Period may not duplicate an existing Authorization for the same person, Program Service Type, provider and frequency for any dates that cross the dates of the Renewal period.
Example:
S. Auth #1 used DY frequency for 05/01/2004 through 05/31/2004.
S. Auth #2 used MO frequency 05/01/2004 through 05/31/2004. It was renewed 06/01/2004 through 07/31/2004 using the DY frequency. This is allowed because the Daily rate dates for the Renewal period do not cross the Daily rate dates for S. Auth #1.

Enter the new end date for the renewal period; the system will set the renewal begin date.
After selecting the 'OK' push button, you will be takento the Units and Rates window to establish rate data for the renewal period.
New End Date: Enter the new renewal end date.
