Program Case Administrative Roles
WINDOW OVERVIEW:
The Program Case Administrative Roles window is used to both view and update the administrative roles for a program case. Administrative roles are: case name, payee, case representative, emergency contact, nursing home representative, and presumptive provider.
How Do I:
FIELD DESCRIPTIONS:
Program Case Person List Box:
This list box displays all of the program case persons associated with this program case.
Last: This column displays the program case person's last name.
First: This column displays the program case person's first name.
MI: This column displays the program case person's Middle initial.
Ext: This column displays the program case person's name extension (Jr. Sr. etc).
Role: This column displays the program case person's role in the program case (i.e., participant, financially responsible).
Status: This column displays the program case person's current status in the program case.
Reason: This column displays the reason for the status (person was previously closed).
Assistance code: This column displays the program assistance code (i.e., EMAC, SAM).

The Case Person icon enables when a person in the list is highlighted. Select icon to open the Person Detail window for that person. |
Administrative Role List Box
This list box displays all administrative roles that have been assigned to the program case. The current role(s) will have a blank end date. Administrative roles with an end date are no longer in effect.
Name: This column displays the name of the person who was assigned to the administrative role.
Role: This column displays the type of administrative role. Example: Case Name, Payee, Case Representative, Emergency Contact, Nursing Home Representative
Notice: This column displays a “Y” to indicate that this person will receive notices generated from N-FOCUS, or a “N” to indicate that this person will not receive notices.
Begin Date: This column displays the date the person was assigned to the specific administrative role.
End Date: This column displays the date the person’s assignment to the specific administrative role ended. If this field is blank, the assignment is still in effect.
ACTION BUTTONS:

Select the Case Person icon to open the Person Detail window for a highlighted person. Select the Select Role button to add or change an administrative role. The Select Administrative Roles window opens. This button must be used to change administrative roles that cannot be end dated. Example - A program case must always have a program case name. Simply closing the administrative role is not be allowed. (See Close Role Button) However, when selecting a new person for this role, the system will automatically end date the role of the previous person. Both persons, with their updated date sets, will appear in the Administrative Role list box. |

Select the Change Notice button to change the Notice indicator. Note - first highlight a person in an administrative role row, then select the Change Notice button, the notice indicator will immediately change online. |

Select the Close Role button to close an administrative role. Note - first highlight a person in an administrative role row, then select the Close Role button. The system will place the current date as the end date. Note - Some administrative roles may not be end dated such as case name. Use the Select Role button to place another person in that role and end date the existing person’s involvement. |

Select the Organization icon to open the Detail Organization window to view more information about the organization. |
ACTION BUTTONS:

Select the OK button to save any changes and return to the Detail Program Case window. |

Select the Cancel button to exit the window without saving any changes and return to the Detail Program Case window. |

Select the Help button to view window specific Help information. |
