Detail Trust Fund Batch

WINDOW OVERVIEW:

The Detail Trust Fund Batch window is opened when the Trust Fund Batch Entry Batch Entry icon is selected on the Detail Trust Fund Batch Header toolbar. It is used to add, display,update, and remove State Ward Trust Fund transactions.

FIELD DESCRIPTIONS:

Batch Header Group Box:

This box displays the information from the Batch Header.

Number: This field displays the system assigned batch header Identification number.

Bank: This field displays the name of the commercial bank account.

Status: This field displays the status of the batch.

Type: This field displays the type of batch.

as of: This field displays the effective date of the batch status.

Transactions List Box:

This box displays the transactions added to the batch.

Acct: This field displays the trust fund account number.

SSN: This field displays the state ward's social security number.

Ward Name: This field displays the state ward's name.

Amount: This field displays the amount of the transaction.

Description: This field displays a description of the transaction.

Claim Number: On receipt transactions this field displays a claim number for benefits received from Juvenile court, Veterans Administration, SSI, Social Security, or Railroad Retirement.

Payee: On disbursement transactions this field displays the name of the person or organization payee.

Transaction Group Box:

This box is used to enter the information to create or update a transaction.

Trust Fund Account:

This box is mandatory

Number: Enter the trust fund account number or

Search: Select the Search button to open the Search Trust Fund Account window to find the account number.

Name: The State Ward's name will displays when the number has been entered.

Payee Group Box:

This box is mandatory for disbursement batches but is not used to receipt batches.

Type: Select the type of payee from those in the drop down list.

Number: Enter the identification number of the payee or

Search Select the Search button to open the Search Organization window for organization payees or the Person Search window for person payees and return the payee identification number.

Mail to: This field defaults to the payee name but can be changed by selecting a payee or local office as the place where the payment is to be mailed.

Name: This field displays the name of the payee associated with the ID number.


Amount: Enter the dollar amount of the transaction.

Desc: Select a description of the transaction from those in the drop down list. The list is tied to the batch type selected in the batch header. The description list for receipts is different than the list for disbursements. This is a mandatory field.

Receipt Number: Enter the number of the receipt transaction (if there is one).

Errors: This field enables when an add or update action is taken that is not correct. The reason for the error displays in this field.

ACTION BUTTONS:

In the Transactions List Box -

More Minus The More Minus button is enabled when the More Plus button has been used to view additional pages of information. Select the button to return to the previously viewed pages.
More Plus The More Plus button is enabled when there are more pages of information than the list box can display. Select this button to view the additional pages.

In the Transaction Group Box:

Add Select the Add button to save and move transaction information from the Transaction Group box to the Transaction List box on the window. If there is an error in the transaction information a message displays in the Error drop down list at the bottom of the window. Correct the error and select the Add button again.
Update The Update button enables when a transaction that has not been processed in a batch is highlighted in the Transaction List box. The information from the line is displayed in the Transaction Group Box where it can be changed. If there is an error in the transaction information a message displays in the Error drop down list at the bottom of the window. Correct the error and select the Update option again.
Remove The Remove button enables when a transaction that has not been processed in a batch is highlighted in the Transaction List box. Select the button to remove the highlighted transaction. The Remove Confirmation window displays.
Comments Select the Comments button to open the Detail Trust Fund Batch Comments window.
