Discontinue Person - Overview

Protected Person Information: DHHS Administration and staff have identified a need to mask information for several reasons: including, but not limited to issues on

  • subsidized adoption cases
  • family violence situations
  • certain guardianship cases

In these situations, the option of creating a New Person on N-FOCUS for the person's protection and cross referencing this New Person to an existing N-FOCUS person will allow for tracking and reporting requirements.

Security profiles are created to ensure only designated personnel have access to certain pieces of information. This option will provide confidentiality as well as preventing the accidental release of information.

When registering a Sub-Adopt child, a Family Violence case, or Sub-Guardianship child, use the Action 'Add New Person' and then use the current functionality for Discontinue Person, Terminate SSN, and Reverse Discontinued Person to protect the information.

The other purpose of the Discontinue Person functionality is to be able to discontinue a person who exists on N-FOCUS more than one time. The person may have been added to different Master Cases, Intakes, Organization Persons, or associated to a Program Case with an Administrative Role.

When a person is discontinued, the Person ID number of both the discontinued person and the currently 'active' person are stored on the Discontinued Person Details window. This window is always viewable for persons discontinued for the "duplicate person" reason but is only available to persons with proper security clearance if the discontinued reason in sub-adoption, family violence, or guardianship.

A person cannot be discontinued if

  • The person has an association with a Service Needs Assessment in any status other than denied.
  • The person has a State Ward Trust Fund Account in any status other than closed.
