Add Case Actions

WINDOW OVERVIEW:

The Add Case Actions window is used to add new expert system program cases to the master case.  Only one program case can be added at a time.  If there is a sanction associated with a case person a sanction message opens.

FIELD DESCRIPTIONS:

Program List Box:

Program: Highlight the type of Expert System program to be added from the list of expert system programs.  Waiver programs will only be listed if there is an active, pending, or spend-down AABD, ADC, or MED case.

Participant List Box:

This box lists those persons who meet the criteria for the selected type of the program case.  Highlight the person(s) to be included in the new program case.  More than one person may be highlighted.  If a person cannot be added to an Employment First case a message will open.

Last Name:  This column displays the person(s) last name.

First Name:  This column displays the person(s) first name.

Birth Date:  This column displays the person(s) date of birth.

Household Status:  This column displays the person(s) current household status.


App Req. Date: Enter the date the application for the new program was requested for AABD, ADC, expert system LIHEAP, Medical, Retro Medical, SNAP and FW cases. This date cannot be later than the current date or the selected benefit month. For a retro MED case it cannot be more than 4 months earlier than the selected benefit month. For LIHEAP, the benefit month must be 10/2012 or later, however, the Application Received Date can be earlier.

App Rec’d Date: Enter the date the application for the new program was received. This date cannot be later than the current date or the selected benefit month. For retro MED cases there is no date check. A prorate date is not allowed for LIHEAP.

 

Note: LIHEAP does not require a new application each heating season if the client has another type of active case.   The most recent application received for the other program can be used to approve LIHEAP.  Because of this the application received date could be a few months in the past.  You should still select the benefit month based on the application received date, as long as it is after 10/1/2012.  When a budget is authorized the LIHEAP case will be active as of the application received month.  The case could be active but benefits not issued until the heating season begins in November

Retro Med End Date: This field is enabled for Retroactive Medical program cases. Enter the date the retroactive medical eligibility should end.  This date cannot be later than the application received date.

Prorate Date:  Enter the date the grant or allotment is effective for those programs that allow for a prorated payment.

Eligible for Expedited Box:

This field will be enabled for SNAP cases.

  • Yes:  Select the Yes radio button if the case meets the expedited criteria.
  • No:  Select the No radio button if the case does not meet the expedited criteria.

Program Case Name:  Only one person from the drop down list may be selected as the program case name.  Only persons with a role of participant or financially responsible will be listed.

The remaining drop down lists apply only to Employment First cases.

Participation Status:  Select the persons participation status from those in the drop down list.

Participation Reason:  Select the persons participation reason from those in the drop down list.

Completed Level of Education:  Select the education level completed by the person from those in the drop down list.

ACTION BUTTONS:

 Select the Next button add another program. The information for the first case will be saved. The Employment First Error message may open.
 Select the OK button save the information that has been currently entered.
Select the Cancel button close the window and NOT save the information that has been currently entered.  Any information saved by the Next button will be saved.
 Select the Help button to display the help information for the active task.
